Types of Information Collected

Generally, personal information is not collected from visitors to PhantomRanch.org. However, in order to use special services, personal information is requested; those cases are described in more detail below.

Discussion Forum Registration
Phantom Ranch requires a valid e-mail address for users who want to participate in The Campfire Discussion Forums. This allows us to protect our community from abusive topics and provides a verifiable point of contact should legal questions arise. At any time, you have the ability to keep your e-mall address hidden from other users by selecting that option within your user profile.

Also in the forum registration, you have the option to provide some additional information such as occupation, interests, and your website address. This information is made available to other Discussion Forum users to foster a sense of community. If you have any concerns about providing this information, simply leave the fields blank and your registration will still be processed.

IF YOU ARE 12 YEARS OF AGE OR YOUNGER and would like to participate in our discussion forums, you will need to complete the Parental Permission Form and have your parent or legal guardian mail or fax (262.363.6941) it to Phantom Ranch prior to posting in the forums. Current regulations do not allow parental consent to be given via e-mail.

Guestbook
Unlike our discussion forums, no registration is required to participate in our Guestbook. You are required, however, to list your name for your entry to be processed (however a last name is not required, and an "alias" can be used). You have the option to provide some additional information such as e-mail address and hometown. This information is made available to connect others in the Phantom Ranch community. If you have any concerns about providing this information, simply leave the fields blank and your entry will still be listed.

IF YOU ARE 12 YEARS OF AGE OR YOUNGER and would like to participate in our Guestbook, we would ask that you get your parents permission before doing so. (A revised version of our Guestbook is currently in development to further protect kids' safety on the Internet).

Chat
On occasion, PhantomRanch.org hosts live chat events, using AOL Instant Messenger software. Please remember that any information that is disclosed in a chat room becomes public information. You should exercise caution when deciding to disclose your personal information. Transcripts of chat events are edited before being published on our website to remove extraneous information, breaks in some answers, and chat room information (i.e. people coming and going). Personal contact information from users 12 years of age or younger is also edited out. Phantom Ranch is not responsible for any information collected by the AOL Instant Messenger service.

E-mail Newsletter Subscription
Phantom Ranch offers you the opportunity to subscribe to a weekly e-mail newsletter called "Phantom Ranch eNews". This e-mail provides updates about the latest changes to our website and current news at camp. The only piece of information required is the user’s e-mail address, which is only used to distribute the requested newsletter. You can "unsubscribe" at any time by visiting http://www.phantomranch.org/enews.htm.

IF YOU ARE 12 YEARS OF AGE OR YOUNGER, you do not need parental consent prior to receiving "Phantom Ranch eNews". However, your parent or legal guardian is required to be notified that you have subscribed to this e-mail update. Because of this, the e-mail address of your parent or legal guardian is required upon signing-up, along with your own e-mail address.

Photos and Video
All photo or video images taken/gathered by Phantom Ranch belong to the camp, for the purpose of promoting and sharing the ministry, and these images may appear on our website, in promotional videos, or print material. Phantom Ranch assumes the privilege of using these images as a condition of using the Ranch facilities.

If you see a photo and/or caption of yourself or your child that you do not want featured on our website, please send an e-mail to privacy@phantomranch.org and we will remove it promptly. If you do not want photo or video images of you or your child used for promotional reasons, please contact us at privacy@phantomranch.org and we will take every reasonable effort to limit the use of these images.

Also, we will do our best not to knowingly publish contact information (in this case, last names and e-mail addresses) of campers and guests in our photo and video areas. Except where permission is received.

Surveys/Polls
Our online polls/surveys sometimes ask visitors for contact information (like their e-mail address) and demographic information (such as their age range). We use this contact information to communicate with the user about Phantom Ranch if the situation is appropriate. Demographic information is used to evaluate current and future Ranch programs and services based on users.

Cookies and your IP address
Our Discussion Forums involve the use of "cookies" to make your visit to our website more enjoyable. This includes saving your username and password and showing a default Topic View when you visit the forums. You have the option to turn these cookies off at any time by updating your user profile preferences.

Many of our online polls/surveys use cookies, to prevent you from voting more than once. If your browser doesn’t support cookies, or if you have cookies turned off, these preferences will not be set.

We also use your IP address to help diagnose problems with our server, measure the number of visitors we receive, moderate our polls/surveys, and to administer our website. We cannot tell your identity by viewing your IP address.

Information Requests and E-mail Communication
If you use the Request Info or Contact the Ranch sections of the website, there are situations when you are required to provide us contact information, such as your name, e-mail address, phone number, or mailing address. We use this information to send you information that you have requested, and in some situations, add you to our conventional mailing lists. You can choose at anytime to have yourself removed from our mailing lists by sending an e-mail to privacy@phantomranch.org. Phantom Ranch does not share your contact information with any third parties.

Other Sites
PhantomRanch.org contains links to other websites. We are not responsible for the privacy practices or the content of such websites.

Security

Phantom Ranch has many security features in place for our website to protect the loss, misuse and alteration of information under our control. PhantomRanch.org is backed up on a periodic basis by our website hosting service. In addition, copies of the website are maintained offline by our Web Team, in case of system failure. Personal data such as contact information and e-mail addresses are only accessible by authorized Phantom Ranch staff.

Disclosure of Personal Information

Phantom Ranch does not disclose your personally identifying information to any third parties for any purpose without your prior consent. All reasonable care is taken by staff handling personal information to ensure its security both offline and online.

It is also important to be aware that when you voluntarily provide personal information by posting a message in our Guestbook or Discussion Forum (like last name, address, phone number), that information is publicly available and may be used by someone in a manner unintended by you. For that reason, we discourage the offering of any personally identifying information within these forums.
